The Off-Plan Sales Ops Playbook for Developers

Off-plan sales are the backbone of new development in the Gulf and North Africa, and they are also where sales operations quietly fall apart: unit inventory tracked in one spreadsheet, reservations confirmed over email, payment plans managed in a second spreadsheet, and handover coordinated over WhatsApp threads nobody archives. Every hand-off is a place a unit gets double-sold or a payment gets missed.

The five stages that need one system, not five tools

1. Unit inventory. The single source of truth for what's available, on hold, reserved or sold — updated the moment a broker taps "reserve", not at end of day when someone reconciles a spreadsheet.

2. Reservation. A reservation should lock a unit atomically the instant it's created, not "eventually" once a form is manually processed. Two sales agents racing to reserve the same unit is the classic off-plan failure mode — the fix is a reservation flow with real transactional guarantees, not a "please double check availability" policy.

3. Payment plans. Off-plan payment plans are milestone-based (booking, construction stages, handover) and every milestone needs its own due date, amount and collection status — tracked in the currency and cents the deal was actually signed in, not re-typed into an accounting tool later.

4. Collections. Late payments on a milestone plan need visibility before they become a legal problem: who's overdue, by how much, and what's the agreed grace period. This is operational data, not just finance's job to chase quarterly.

5. Handover & after-sales. The moment a unit is ready, the developer suite needs to track snagging, document handover, and route after-sales requests (service charges, community management, warranty issues) without starting a new system from scratch.

Why this belongs in one platform

Every hand-off between these five stages is a place data gets re-typed, delayed or lost — and every re-type is an opportunity for the unit inventory and the payment ledger to disagree with each other. A developer suite that runs unit inventory, reservations, payment plans, collections and handover on one platform (with the same properties and contacts your sales team already works leads in) removes the reconciliation step entirely, instead of adding another dashboard to check against the spreadsheet.

Darbase's developer suite is built for exactly this: one system spanning sales through handover, sharing the same CRM your brokerage side already uses to capture and qualify buyer leads — see the developer suite in detail or compare plans and pricing.
